Creating a Distribution List in Outlook


Are you constantly sending e-mail messages to large groups of people? Are you tired of searching through the global address list fore-mail addresses of your colleagues? Do you want to choose one name and have all of your colleagues/family/friends receive the same message? If so, today is your day! The instructions below will help make your job easier through the creation of a personal distribution list in outlook (not available for web access).

  1. Go to the Contacts Fold

  2. Left click on File

  3. Left click on New

  4. Left click on Distribution List

  5. Enter an appropriate name for the new distribution list (next to section entitled Name). For example, if this distribution list is for a specific committee that reviews applicants, you may want to name it something meaningful such as "Review Committee" (no quotes).

  6. In order to add members, choose Select Members and search through the global address list or your contacts in order to find the person(s) that you would like to add to your distribution list.

If the person(s) e-mail address isn't in your global address list/contacts list, you can add them by selecting Add New. In the box, enter their name (first line) and e-mail address (second line), select add to contact, and okay.

When it's complete, choose save and close in the top left hand corner. Your distribution list has been created! In order to use the list, simply key in the name you gave it (such as “Review Committee” in the example above) within the TO: line of your email message.
